Legal Assistant
Office, Clerical & Administrative
We are seeking a Legal Assistant to provide administrative and operational support to our Customers Consumer Warranty and Product Liability Litigation practice groups. This position will assist with processing incoming legal communications, opening and maintaining legal matters, processing settlements, and supporting day-to-day legal department operations.
The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities, and comfortable working independently in a fast-paced environment with time-sensitive deadlines.
Location: Fountain Valley, CA
Schedule: Monday-Friday, Full-Time, Onsite
Pay: $25.00-$30.00 per hour
Key Responsibilities
Incoming Communications & Claims Processing
Process incoming physical mail, email, and correspondence from opposing counsel.
Receive referrals from the Consumer Affairs team regarding customer inquiries.
Review and triage incoming communications to determine the appropriate litigation team.
Scan, process, and enter correspondence into internal systems.
Classify correspondence as related to existing matters or new matters and route appropriately.
Assign new matters to the weekly case assignment list.
Case Management & Document Processing
Finalize case assignments and assist with opening new legal matters.
Open and maintain cases in the legal matter management system, TeamConnect.
Upload and organize related documents in the document management system.
Update related information in Salesforce.
Process settlements after cases have been opened and ensure records are accurately updated.
Settlement & Payment Processing
Receive settlement requests and payment instructions from attorneys.
Update settlement information in TeamConnect and Salesforce.
Request vendor setup through the Finance Department when needed.
Create check requests in SAP and route them through the appropriate approval channels.
Obtain required approvals and sign-offs and ensure settlement documentation is complete.
Additional Support
Provide backup support to other administrative staff as needed.
Perform other duties and special projects as assigned by the supervisor.
Work independently and efficiently while managing multiple responsibilities and competing deadlines.
Qualifications & Skills
Previous experience in a legal, administrative, claims, or corporate environment preferred.
Strong organizational and document management skills.
Excellent attention to detail and accuracy.
Ability to prioritize and manage multiple time-sensitive tasks.
Ability to work independently while following general instructions and established processes.
Strong written and verbal communication skills.
Comfortable working in a fast-paced environment.
Preferred Systems Experience
Experience with any of the following systems or tools is preferred:
TeamConnect or another legal matter management system
Salesforce
SAP
Adobe Acrobat/PDF
Adobe Sign
Microsoft Teams
SharePoint Online

Pay Details: $25.00 to $30.00 per hour
