Location: Yorktown Heights, NY

Schedule: Monday – Friday, 7:30 AM – 4:00 PM
Contract Duration: 13 Weeks
About Us
We are a busy, growing private dental practice with locations in Briarcliff Manor and Yorktown Heights. Our team is friendly, fast-paced, and dedicated to delivering an exceptional patient experience from the moment they call to the moment they leave.
About the Role
We are seeking an organized, detail-driven Dental Hygienist Coordinator for a 13-week contract opportunity at our Yorktown Heights location.
The Hygiene Coordinator serves as the central point of contact for our hygiene schedule and patients. Positioned between the front desk and treatment coordination, this role does not involve presenting or planning treatment. Instead, your primary focus will be keeping hygiene chairs full, keeping patients on track with their recall, and ensuring the daily schedule runs smoothly and on time.
Key Responsibilities
Schedule Optimization: Manage and optimize the hygiene schedule across providers to maximize chair utilization and minimize schedule gaps.
Recall & Reactivation: Lead recall and reactivation outreach via calls, texts, and emails to re-engage overdue patients.
Openings & Cancellations: Fill last-minute openings using the ASAP and unscheduled lists.
Appointment Tracking: Confirm upcoming appointments and follow up promptly on unconfirmed patients.
Insurance Verification: Verify insurance eligibility and frequency limits for hygiene visits (cleanings, X-rays, fluoride, SRP, perio maintenance).
Patient Communication: Clearly explain insurance coverage and estimated out-of-pocket costs for hygiene services to patients.
Check-In & Check-Out: Manage check-in/check-out processes, collect payments, and schedule next hygiene appointments prior to patient departure.
Records Management: Maintain precise patient records, chart notes, and contact details.
Team Coordination: Collaborate with hygienists, dental assistants, and front desk staff to maintain daily clinic flow.
Metrics Tracking: Monitor and report key hygiene metrics, including recall rates, scheduled vs. open time, and cancellation rates.
Qualifications
Experience: Minimum 1 year of dental office experience (front desk, scheduling, or related role).
Skills: Exceptional attention to detail, strong organizational abilities, and outstanding phone etiquette with a warm, professional manner.
Multitasking: Proven ability to juggle multiple priorities effectively in a fast-paced setting.
Industry Knowledge: Basic understanding of dental terminology and insurance protocols.
Software: Experience with dental practice management software is a plus (Denticon preferred).
Attributes: Reliable, proactive, and a strong team player.
