We are seeking a detail-oriented and highly organized Vendor Contract Administrator to manage vendor relationships, service contracts, and compliance requirements while partnering with internal teams to ensure operational excellence.
Position Summary
The Vendor Contract Administrator plays a key role in supporting preventive maintenance programs for critical infrastructure assets. This position is responsible for coordinating vendor contracts, managing the RFP process, maintaining vendor compliance documentation, monitoring contract performance, and providing ongoing support to internal stakeholders and service providers.
This is an excellent opportunity for a candidate with contract administration, vendor management, procurement, or facilities management experience who enjoys working in a fast-paced environment and collaborating across multiple teams.
Key Responsibilities
Support and manage vendor contracts related to critical infrastructure preventive maintenance services
Coordinate the Request for Proposal (RFP) process, including preparing bid documents, soliciting proposals, tracking responses, and evaluating submissions
Create and maintain service agreements using approved contract templates
Enter and maintain contract pricing within internal systems to support purchase order generation
Manage contract changes, amendments, and renewals
Serve as a point of contact for vendor-related issues and escalations
Maintain vendor profiles and records within contract and work management systems
Conduct vendor onboarding calls to review company processes, expectations, and customer requirements
Monitor vendor performance and prepare vendor scorecards
Assist with sourcing and obtaining quotes for non-standard preventive maintenance services
Ensure vendor compliance by maintaining Certificates of Insurance (COIs), W-9 documentation, and other required records
Coordinate with internal operations teams to ensure vendor deliverables are completed accurately and on time
Communicate with vendors regarding contract language, service level agreements (SLAs), and scope requirements
Track contract renewal dates, insurance expirations, and other critical compliance milestones
Utilize reporting tools to analyze spending trends, monitor budgets, and support business objectives
Audit vendor catalogs and contract data to ensure compliance and accuracy
Qualifications
Required
1-3 years of experience in contract administration, vendor management, procurement, or a related field
Strong proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook
Excellent organizational skills with a high level of attention to detail
Ability to manage multiple priorities and deadlines simultaneously
Strong written and verbal communication skills
Demonstrated ability to build collaborative working relationships with vendors and internal stakeholders
Preferred
Bachelor's degree in Business Administration or a related discipline
Experience with CMMS (Computerized Maintenance Management Systems)
Familiarity with contract management platforms and procurement systems
Negotiation experience and vendor relationship management skills

Pay Details: $30.00 to $33.00 per hour
