Process Documentation Specialist

We are looking for a proactive professional who will help maintain and improve business-critical documentation within a 24/7 operational environment. You will work closely with operational teams and stakeholders to ensure processes and work instructions remain accurate, accessible, and up to date.
What are you going to do?As a Process Documentation Specialist, you will support a team responsible for critical transport and distribution processes. Your main focus will be maintaining and improving documentation while supporting ongoing process and system transformation initiatives.
Your responsibilities will include:
- Updating and maintaining user documentation, work instructions, and manuals;
- Gathering information from stakeholders and end users and translating it into clear documentation;
- Supporting administrative and operational process documentation;
- Contributing to process improvement and system transformation projects;
- Mapping and documenting business processes;
- Providing support for operational questions and second-line support activities;
- Collaborating with different teams to ensure documentation accuracy and consistency;
- Identifying opportunities to simplify or improve existing procedures.
- A salary of €3,200 gross per month based on a 40-hour contract;
- Initial contract duration: 6 months, with a strong possibility of extension for an additional 6 months;

Please note:
- During the first 2 months, on-site presence in Groningen is required at least 4 days per week for onboarding purposes;
- After onboarding, the minimum on-site requirement is 2 days per week. Full-time office presence is considered an advantage.
You will join a team supporting critical operational processes within a complex 24/7 environment. The team works closely with operational departments and project stakeholders to ensure process continuity, user support, and ongoing business improvements.
What do we ask?- Minimum 1 year of experience providing operational support to end users (2nd line support);
- Minimum 1 year of experience in developing and maintaining procedures and work instructions;
- Minimum 1 year of experience in setting up and maintaining a structure for user documentation and determining the most effective way to make it accessible to end users;
- Experience with Microsoft Word, Visio, Teams, and SharePoint;
- Familiarity with BPMN and XML;
- Strong communication and stakeholder management skills;
- Proactive mindset and ability to work independently;
- Strong analytical skills and attention to detail;
- Dutch language proficiency at near-native/C1 level;
- Good English communication skills;
- Work will be performed on an upper floor for which an AIVD-B screening is required.
Preferred Skills
- Experience working in an Agile environment;
- Experience documenting operational or administrative processes;
- Interest in process improvement, automation, and knowledge management;
- Knowledge of AI solutions and AI agents is a plus;
- Strong team-player mentality.
