Tuesday through Thursday, 8:30am – 5pm – some Monday and/or Friday requests and flexible for adjusted hours for event(s)
$22 - $25 per hour (commensurate with experience) plus 4% vacation pay on top of this
About the Opportunity
Our client is seeking a proactive and service-oriented Workplace Coordinator to support the daily operations of a dynamic and collaborative office environment on a part-time basis. This role is ideal for someone who enjoys creating exceptional workplace experiences, thrives in a fast-paced setting, and takes pride in ensuring employees and visitors receive professional, responsive support. Working onsite three days per week and sporadically additional days, you will play a key role in maintaining an efficient, welcoming, and well-organized workplace while supporting various administrative, facilities, and employee engagement initiatives.
Key Responsibilities
Serve as the first point of contact for employees, guests, and workplace-related inquiries
Manage front desk and reception activities, ensuring a professional and welcoming environment
Coordinate meetings, events, catering, travel arrangements, and office logistics
Monitor meeting rooms, kitchens, reception areas, and common spaces to ensure they remain organized, stocked, and functional
Liaise with vendors, contractors, building management, and internal stakeholders
Assist with administrative reporting, documentation, and budget tracking
Support employee engagement initiatives and workplace experience programs
Support health and safety initiatives, including workplace compliance and reporting requirements
Assist with office moves, workspace planning, and workplace improvement projects
Provide general operational support and participate in special projects as needed
Qualifications
Minimum 2 years of experience in workplace coordination, facilities, office administration, hospitality, or a related field
Previous front desk or reception experience preferred
Strong technical skills; experience using Slack a strong asset
Strong customer service and relationship-building skills
Experience supporting events, office operations, or employee experience programs
Excellent verbal and written communication skills
Highly organized with strong attention to detail and the ability to manage multiple priorities
Comfortable working independently while collaborating with cross-functional teams
The selected candidate must have a clear background check (performed through Adecco during offer stage)

Employment Details
Location: Downtown Toronto (TTC accessible)
Schedule: Tuesday to Thursday, additional days as needed with notice

Compensation: $22.00 - $25.00 per hour, based on experience plus 4% vacation pay paid weekly
Work Arrangement: Fully onsite
