We are seeking an experienced Executive Operations & Special Projects Manager to support a senior executive involved in business ventures, special projects, community initiatives, events, and private affairs.
This unique role combines executive support, project coordination, event management, travel logistics, and occasional property and personal affairs management. The successful candidate will become a trusted partner who can anticipate needs, manage competing priorities, and execute with discretion and professionalism.
About the Opportunity
Working closely with the CEO/President, you will oversee a variety of projects and initiatives spanning business operations, real estate developments, charitable activities, community engagement, and special events. This role offers significant variety and exposure to high-profile projects and stakeholders.
The position is primarily Monday to Friday; however, flexibility is required to support occasional evening and weekend events.

Key Responsibilities
Executive & Special Project Support
- Manage and coordinate multiple projects from planning through execution.
- Prepare presentations, reports, meeting materials, and correspondence.
- Track timelines, deliverables, and stakeholder commitments.
- Liaise with internal teams, consultants, vendors, and external partners.
- Provide administrative and operational support to ensure projects remain on schedule.
- Coordinate domestic and international travel arrangements, itineraries, accommodations, and transportation.
- Accompany the executive on business travel when required.
- Manage travel-related schedules, meetings, and event logistics.
- Support the planning and execution of corporate, charitable, fundraising, and social events.
- Coordinate logistics with venues, vendors, sponsors, guests, and third-party representatives.
- Assist with high-profile events requiring exceptional attention to detail and discretion.
- Manage invitations, guest lists, schedules, and event follow-up activities.
- Coordinate residential property maintenance, repairs, and service providers.
- Liaise with contractors, trades, and household vendors to ensure work is completed efficiently.
- Schedule appointments, oversee service visits, and occasionally be present during maintenance or repair work.
- Assist with personal administrative matters and family-related logistics as required.
Qualifications
- 5+ years of experience supporting senior executives, entrepreneurs, family offices, or high-net-worth individuals.
- Exceptional organizational and project management abilities.
- Strong communication and relationship-building skills.
- Advanced proficiency in Microsoft Office Suite and digital collaboration tools.
- Proven ability to manage multiple priorities with minimal supervision.
- Strong judgment, problem-solving skills, and attention to detail.
- Demonstrated professionalism, discretion, and confidentiality.
Preferred Experience
- Executive Assistant or Chief of Staff-type responsibilities.
- Event planning and VIP guest coordination.
- Travel planning and itinerary management.
- Real estate, development, property management, or household management coordination.
- Supporting charitable foundations, community organizations, or special events.
Additional Requirements
- Valid Ontario driver's license and reliable transportation.
- Comfortable travelling and occasionally accompanying the executive on business trips (local, national, international).
- Ability to work occasional evenings and weekends to support events and special initiatives.
- Professional presence and confidence interacting with senior leaders, community stakeholders, vendors, and VIP guests.
