Adecco is currently hiring a full-time Document Scanning Clerk for our client in Ottawa, ON. This is an excellent opportunity for a detail-oriented professional who enjoys working with documents, maintaining accuracy, and supporting records management initiatives in a structured environment.
The successful candidate will be responsible for preparing, scanning, and quality-checking physical documents while ensuring compliance with confidentiality and document retention requirements. This role requires a high level of attention to detail, strong organizational skills, and the ability to follow established procedures consistently.
Pay Rate: $17.60/hour
Location: Ottawa, ON
Shift: Monday to Friday | 8:00 AM to 4:30 PM
Job type: Temporary with possibility of Permanence | Full-time

Responsibilities:
Document Preparation
Prepare paper documents for scanning by removing staples, paper clips, bindings, and fasteners
Repair torn or damaged documents using tape as required
Unfold and flatten documents to support efficient scanning
Reposition sticky notes and loose attachments while ensuring all information remains visible
Maintain original document order and integrity unless otherwise instructed
Identify document types and special handling requirements, including oversized documents, booklets, and carbon copies
Scanning & Digital Processing
Operate scanning equipment to create clear and accurate digital files
Follow established procedures for document batching, file naming, indexing, and scanning specifications
Ensure scanned images are complete, legible, and properly aligned
Monitor scanning output and identify issues requiring correction
Quality Control
Perform quality reviews to verify image clarity, completeness, orientation, and sequencing
Identify missing pages, scanning errors, and unreadable images
Coordinate rescanning activities when required
Ensure documents are accurately processed according to project requirements
Records & Compliance
Track documents throughout the scanning process to prevent loss or misplacement
Handle confidential information with discretion and professionalism
Ensure compliance with privacy, security, and records management requirements
Store, return, or dispose of documents according to established retention policies
Maintain a clean and organized workspace
Report discrepancies, issues, or concerns to supervisors in a timely manner
Qualifications and Skills:
Active Reliability Clearance is required
High School Diploma
Previous experience in document scanning, records management, document preparation, or a similar role is preferred
Experience operating high-speed scanners is considered an asset
Strong attention to detail and accuracy
Ability to perform repetitive tasks while maintaining a high level of quality
Ability to follow detailed written procedures and project instructions
Basic computer skills and familiarity with document management systems
Strong organizational and time-management abilities
Ability to handle confidential and sensitive information responsibly
Reliable, dependable, and able to work independently as well as part of a team
Must be legally eligible to work, and reside in Canada
