Job Summary

The Sales Coordinator supports the sales team by providing day-to-day administrative, coordination and operational support for travel trade, Online Travel Agency, group and corporate sales activities.

This role ensures accurate sales documentation, smooth coordination with internal teams, timely partner communication and effective execution of sales initiatives to drive bookings and revenue for a major observation deck attraction. The position serves as a central coordination point for the travel trade sales team and works closely with Marketing, Ticketing, Finance, Operations and Guest Services. The successful candidate must be highly organised, detail-oriented and capable of managing multiple priorities in a fast-paced tourism and visitor attraction environment.

Job Summary

The position serves as a central coordination point for the travel trade sales team and works closely with Marketing, Ticketing, Finance, Operations and Guest Services. The successful candidate must be highly organised, detail-oriented and capable of managing multiple priorities in a fast-paced tourism and visitor attraction environment.

 

Key Responsibilities

  • Provide administrative support to the Travel Trade / OTA Sales Manager and assigned sales executives, ensuring smooth day-to-day operations. Prepare and maintain sales documentation including contracts, agreements, rate sheets, quotations, and proposals. Coordinate group bookings, trade allotments, and special sales requests with Ticketing, Operations, and Guest Services teams. Track booking confirmations, amendments, cancellations, and special arrangements, maintaining accurate records and supporting effective communication across departments.
  • Act as a point of contact for travel agents, tour operators, OTA partners, and corporate clients for routine inquiries. Support the onboarding of new partners by coordinating documentation, system access, and product information to facilitate seamless integration. Ensure timely follow-up on partner requests, confirmations, and issue resolution, maintaining partner satisfaction and trust. Maintain updated partner contact lists and communication records.
  • Assist in coordinating product loading, pricing updates, blackout dates, and inventory changes across trade and OTA platforms. Support the accuracy of product descriptions, inclusions, operating hours, and redemption information across all partner-facing channels. Coordinate internally to ensure changes are effectively communicated and implemented across all relevant systems and teams, maintaining consistency and operational readiness.
  • Prepare regular sales reports, booking summaries, and performance trackers to support sales analysis and decision-making. Maintain accurate records of contracts, rate validity, sales activities, and partner correspondence. Support sales forecasting, budgeting inputs, and management reporting as required, contributing to overall sales planning and performance tracking.
  • Assist in the preparation of sales presentations, proposals, and marketing collaterals to support sales initiatives. Support the coordination of trade events, roadshows, exhibitions, and familiarization (FAM) trips, ensuring seamless logistics and execution. Ensure timely dissemination of sales updates, promotions, and announcements to partners, keeping them informed and equipped to drive bookings.
  • Liaise with Marketing, Ticketing, Finance, Operations, and Guest Services teams to support smooth sales execution and partner fulfillment. Coordinate settlement, invoicing, and reconciliation matters with Finance where required. Support the resolution of trade-related operational issues affecting Guest experience or partner satisfaction, collaborating with relevant departments to address concerns promptly.

 

Job Requirements

 

  • Diploma in Business, Tourism, Hospitality, Marketing or a related field. A Bachelor’s Degree in a related discipline will be an added advantage.
  • Minimum two year of experience in sales coordination, sales administration, reservation operations, group booking coordination, hospitality or tourism support, or another related commercial support function.
  • Experience preparing quotations, proposals, contracts, agreements, booking confirmations or sales reports.
  • Strong organisational and coordination skills with a high level of attention to detail.
  • Good written and verbal communication skills with the ability to communicate professionally with internal teams and external partners.
  • Proficiency in Microsoft Office, particularly Microsoft Excel, Word and PowerPoint.
  • Comfortable maintaining sales trackers, partner databases, booking records and commercial documentation.
  • Able to manage multiple tasks, booking requests and deadlines in a fast-paced environment.
  • Able to coordinate effectively with Sales, Marketing, Ticketing, Finance, Operations and Guest Services teams.
  • Willing to work flexible hours, including selected weekends and public holidays, when required to support trade events and peak-period activities.

 

Nice to Have

  • Minimum 2 years of experience as a Sales Coordinator, Sales Administrator, Reservation Coordinator or Sales Support Executive within tourism, hospitality or travel-related operations.
  • Previous exposure to travel trade, Online Travel Agencies, tour operators, travel agencies, corporate groups, visitor attractions or ticketed venues.
  • Experience coordinating group bookings, trade allotments, reservation amendments or special arrangements.
  • Experience supporting product loading, pricing updates, blackout dates, inventory changes or product content across OTA, booking or partner platforms.
  • Familiarity with CRM, ticketing, reservation, booking or OTA extranet systems.
  • Experience supporting trade events, roadshows, exhibitions, corporate events or familiarisation trips.
  • Experience in theme parks, observation decks, visitor attractions or large-scale entertainment venues.
  • Professional Certificate in Sales and Marketing or another related discipline.
