Essential Skills:
- Previous experience providing full PA/administrative support at a senior level.
- Confident and experienced in Microsoft Office, Zoom Webinar, Teams, and a wide variety of technology and IT software.
- Excellent written and verbal communication skills.
- Excellent administrative, time-management, and organizational skills.
- Collaborative team player with excellent interpersonal skills.
- Strong project management skills with a demonstrated ability to manage multiple priorities effectively.
- High levels of resilience and self-motivation.
Activities include:
- Administrative project support, including procurement processing (PR/PO), due-diligence documentation, oversight of project progress, and invoice submission to ensure on-time project initiation and closure.
- Coordinating iOBU key initiatives, including financial planning and tracking, and managing project initiation and completion timelines.
- Proactive planning of iOBU activity cycles, including meeting scheduling and tracker documentation; preparing agendas, presentation materials, and other relevant documentation ahead of meetings.
- Coordinating and collating detailed information and communicating clearly and effectively with relevant stakeholders.
- Controlling small projects under general guidance, ensuring delivery of project outputs according to plan, and reviewing and refining plans as necessary.
- Understanding and adhering at all times to the company Global Code of Conduct and Global Policies.
- Acting as deputy to the Executive Assistant for the VP, Oncology, International Region when they are unavailable. This includes diary management and team project coordination; planning travel arrangements (flights, accommodation, airport transportation, car bookings, trains, visas) and preparing travel packs/itineraries; collating and processing expense claims within group timelines and ensuring compliance with the expenses policy; organizing internal/external meetings (room bookings, catering); coordinating global conference/video calls; and supporting the department in updating and maintaining distribution lists, organizational charts, and other relevant documentation.
