Client Description:

For our client -European Border and Coast Guard Agency we are looking for:

Administrative Assistant in Human Resources and Corporate Services Division/Corporate Services Unit/Building Projects Management Team

Candidate Profile:

  • At least 1-year experience in a similar position,
  • Good knowledge of MS Office
  • Fluent English min.B2 - work completely in English

Responsibilities:

  • Supporting the Permanent Premises Project with architectural and technical tasks under the guidance of the Project Manager
  • Assisting in the review and coordination of design documentation (concept, building permit, technical and execution designs)
  • Supporting the coordination with internal stakeholders, external designers and contractors
  • Assisting in the preparation, consolidation and follow-up of technical comments, clarifications and meeting actions
  • Supporting site-related activities, including preparation for site visits, inspections and progress monitoring
  • Assisting in the preparation of technical notes, presentations, reports and basic drawings/diagrams
  • Supporting document management, ensuring that project documentation is properly registered, organised and up to date
  • Assisting with data collection and basic analysis related to areas, layouts, quantities or technical parameters
  • Supporting the organisation of technical meetings and drafting minutes where required
  • Providing general administrative and logistical support to the BPM team
