- Requires a high school diploma or GED; A Bachelor’s degree in Business or related field is preferred.
- Strong work tenure: two to four years of experience supporting C-Level Executives, preferably in a manufacturing setting
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, areas, circumference, and volume.
- Proficient with Microsoft Office (Word, Excel, Access, Power Point) and Google suite.
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Must have excellent communication skills (written and verbal) to write reports and findings and present to all levels of management in a clear and concise manner.
- Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Leadership Team, customers, and vendors
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
What you will do:
- Complete a broad variety of administrative tasks for the VP of Sales including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting correspondence, PowerPoints, excel spread sheets and other tasks.
- Works closely and effectively with the VP of Sales to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping them updated.
- Provides a bridge for smooth communication between the Sales team and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management.
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Records and distributes minutes at Sales and Project Management staff and other meetings; Manages follow-up on all action items.
- Maintains and distributes various reports to assist the Sales and Retail teams.
- Maintains and manages a current, comprehensive system of legal document tracking and filing.
- Coordinates domestic and international travel arrangements.
- Creates reports under general instruction and displays data to support needs, generates existing reports, and distributes reports as needed. ·
- Establishes and maintains filing systems for records, files, and documentation. Maintains confidential materials and records. ·
- Facilitates interdepartmental communication through ability to retain and recall information discussed in meetings and develops systems for follow-up, tracking, and completion of agreed-upon tasks.
Pay Details: $50,000.00 to $55,000.00 per year
