Experience

· 3–5+ years of experience in office administration, sales administration, or administrative support roles.

· Experience supporting internal meetings, office operations, and employee activities is

preferred.

Competencies

· Strong organizational and coordination skills.

· High attention to detail and ability to manage recurring administrative tasks accurately.

· Proficient in Microsoft Office applications, especially Excel, Word, and PowerPoint.

· Good communication skills in both Chinese and English.

· Service-oriented mindset and ability to work effectively with cross-functional teams.

This position mainly provides office administration and general affairs support (approximately 80%) and sales administration and internal reporting support (approximately 20%) to the Taiwan Commercial organization.


The role ensures smooth day-to-day office operations, supports internal meetings and employee activities, and delivers reliable administrative execution to support business continuity and internal operations.,


Office Administration & General Affairs 1. Manage daily office administration and general affairs to ensure efficient and compliant office operations, including coordination of office supplies, facilities, vendors, and administrative services.

2. Execute routine secretarial and administrative tasks for the Taipei office, including documentation management, record keeping, and internal tracking activities.

3. Serve as a primary contact for internal office administration matters and provide timely administrative support to internal stakeholders.

4. Provide administrative support and coordination for office-related projects, including security audit preparation, site security reviews, and office renovation preparation, in collaboration with internal stakeholders and external vendors.

5. Support employee overseas travel and visitor arrangements, including hotel reservations, transportation coordination, and related logistics support, in accordance with company policies and guidelines.


Internal Meetings & Employee Activities 1. Coordinate internal meetings, including scheduling, meeting room arrangements, material preparation, and meeting minutes when assigned.

2. Support planning and execution of internal employee activities and events, such as annual meetings, year-end parties, birthday parties, family day, and other internal gatherings.


Sales Administration & Reporting Support

1. Prepare and distribute regular internal sales operation reports and summaries.

2. Support basic sales data checking and reconciliation to ensure accuracy of internal reports.

3. Assist with routine sales administration activities, including sales order, billing-related documentation, and internal coordination based on approved processes.



Cross-functional Administrative Support

1. Work closely with internal stakeholders across Sales, Marketing, Finance/Accounting, IT, and other functions to support administrative and operational requests.

2. Perform other reasonable administrative duties as assigned by the Sales Administration Manager to support business operations.
