  • Bachelor’s degree or higher, preferably in Business, Administration, Languages, International Affairs, or a related field.
  • Preferred: One (1) to three (3) years of relevant administrative or secretarial experience, including document management, scheduling, filing, and customer service.
  • Proficient in using office software, including Word, Excel, and PowerPoint, for tasks such as document processing, file preparation, and data entry.
  • Fluent in English and Mandarin, both spoken and written; Spanish is desirable.
  • Preferred: Safe driving skills, with a valid driver’s license for light vehicles and knowledge of local traffic regulations.

  • Welcome and assist visitors to the CABEI office, ensuring a professional and courteous reception.
  • Prepare and serve tea, coffee, and other refreshments or snacks for visiting guests.
  •  Maintain accurate records of all incoming and outgoing visitors.
  • Handle incoming and outgoing phone calls promptly and professionally.
  • Receive correspondence, invoices, and documents from third parties.
  •  Distribute internal and external correspondence within the office.
  • Reproduce, organize, and prepare documents as needed.
  • Report any malfunctions of office facilities to the relevant service providers and/or the Technology Manager to ensure uninterrupted operations.
  • Assist with filing and archiving property-related documentation.
  • Assist with filing and archiving administrative and financial documentation.
  • Manage office supply inventory, ensuring timely distribution to CABEI staff.
  • Maintain accurate records of fixed assets on a regular basis.
  • Manage inventory, purchase, and distribution of cleaning supplies (e.g., toilet paper, hand towels).
  • Prepare, send, and receive CABEI’s diplomatic pouch or DHL shipments.
  • Provide logistical support and assist in organizing events and activities conducted by CABEI.
  • Arrange transportation for CABEI staff as needed.
  • Process payments for office-related services, utilities, and staff social benefits (e.g., Labor Insurance and National Health Insurance).
  • Manage inventory and purchase of stationery, cafeteria supplies, and vehicle fuel.
  • Assist staff in booking lunch reservations.
  • Maintain awareness of office cleanliness; immediately address and report any unclean areas to the service company.
  • Perform other tasks as required by the officer in charge of the office.
