We are looking for a “GM Assistant” for our global business partner with qualifications below;
General Qualifications
- Bachelor's degree from a related field (Business Administration, Office Management, etc.)
- Minimum 3 years of experience as an executive assistant, preferably in a corporate environment
- Excellent command of both written and spoken English
- Strong organizational and time management skills with the ability to prioritize tasks effectively
- Proficient in MS Office programs (Word, Excel, PowerPoint, Outlook) and digital calendar tools
- High level of discretion and confidentiality in handling sensitive information
- Strong interpersonal and communication skills; able to interact professionally with all levels of the organization
- Proactive, solution-oriented, and able to work independently with minimal supervision
- Flexible, detail-oriented, and able to adapt to a dynamic and fast-paced work environment
- Professional appearance and demeanor
Job Description
- Manages the General Manager’s weekly calendar, including internal and external meetings, appointments, and business trips
- Prepares necessary materials for meetings the executive will attend, including agendas, presentations, and briefing documents
- Handles all incoming calls, emails, and correspondence on behalf of the General Manager and ensures timely follow-up
- Maintains the executive’s daily agenda and coordinates schedules with internal teams and external stakeholders, including chauffeur and travel arrangements when necessary
- Organizes domestic and international travel, including flight bookings, accommodations, itineraries, and visa processes, and monitors all related logistics
- Drafts, formats, and files executive-level correspondence, documents, and reports; ensures accurate documentation of all outgoing and incoming approvals
- Acts as a liaison between the General Manager and employees or external partners, supporting internal communication and flow of information
- May provide verbal or written translation when required during meetings, calls, or document handling
- Supports the General Manager in managing confidential matters and maintains a well-structured filing and documentation system.
