Required Skills and Qualifications:

  • Bachelor’s degree in Business Administration or related field.
  • 2–5 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
  • Ability to multitask and prioritize effectively.
  • High level of professionalism and confidentiality.

Preferred Skills:

  • Experience supporting senior executives or leadership teams.
  • Experience with calendar management tools and virtual meeting platforms.

Strong attention to detail and problem-solving skills.

Key Competencies:

Key Responsibilities:

1. Calendar and Schedule Management

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate internal and external meetings, ensuring all logistics are in place.
  • Prioritize appointments and resolve scheduling conflicts efficiently.

2. Communication and Correspondence

  • Manage emails, calls, and correspondence on behalf of the executive.
  • Draft professional emails, letters, and other documents.
  • Act as a point of contact between the executive and internal/external stakeholders.

3. Administrative Support

  • Prepare reports, presentations, and meeting materials.
  • Maintain records, files, and confidential documents.
  • Track action items and follow up to ensure timely completion.

4. Meeting Coordination

  • Arrange meetings, prepare agendas, and take minutes when required.
  • Follow up on meeting outcomes and ensure closure of action points.

5. Travel and Expense Management

  • Coordinate domestic and international travel arrangements.
  • Prepare travel itineraries and manage expense reports and reimbursements.

6. Stakeholder Coordination

  • Liaise with internal teams, clients, vendors, and senior management.
  • Ensure smooth communication and coordination across departments.

7. Confidentiality and Professionalism

  • Handle sensitive and confidential information with discretion.
  • Maintain professionalism in all interactions.
