Required Skills and Qualifications:
- Bachelor’s degree in Business Administration or related field.
- 2–5 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Ability to multitask and prioritize effectively.
- High level of professionalism and confidentiality.
Preferred Skills:
- Experience supporting senior executives or leadership teams.
- Experience with calendar management tools and virtual meeting platforms.
Strong attention to detail and problem-solving skills.
Key Competencies:
Key Responsibilities:
1. Calendar and Schedule Management
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external meetings, ensuring all logistics are in place.
- Prioritize appointments and resolve scheduling conflicts efficiently.
2. Communication and Correspondence
- Manage emails, calls, and correspondence on behalf of the executive.
- Draft professional emails, letters, and other documents.
- Act as a point of contact between the executive and internal/external stakeholders.
3. Administrative Support
- Prepare reports, presentations, and meeting materials.
- Maintain records, files, and confidential documents.
- Track action items and follow up to ensure timely completion.
4. Meeting Coordination
- Arrange meetings, prepare agendas, and take minutes when required.
- Follow up on meeting outcomes and ensure closure of action points.
5. Travel and Expense Management
- Coordinate domestic and international travel arrangements.
- Prepare travel itineraries and manage expense reports and reimbursements.
6. Stakeholder Coordination
- Liaise with internal teams, clients, vendors, and senior management.
- Ensure smooth communication and coordination across departments.
7. Confidentiality and Professionalism
- Handle sensitive and confidential information with discretion.
- Maintain professionalism in all interactions.
