Job Title: Lobby Ambassador

Salary: 15.50€ per hour - 40 hours per week

Purpose of the Role:

As the Lobby Ambassador, you will be the first point of contact for our visitors and staff. You will deliver an exceptional experience that reflects our brand's professionalism and efficiency. Your commitment to outstanding customer service will set the tone for all who enter our doors.



Key Responsibilities:

Reception & Front-of-House

Provide a warm and professional welcome to all visitors.
Manage visitor and contractor registration using our visitor management system.
Promptly notify hosts upon guest arrivals.
Sign in contractors, ensure permits are in place, and provide escorts as necessary.


Facilities Support

Efficiently handle incoming and outgoing couriers and postal services.
Assist with Facilities helpdesk tickets, maintaining accurate records.
Support procurement activities, including sourcing suppliers, obtaining quotes, and processing orders.
Coordinate soft services such as cleaning, maintenance, catering, and meeting room setups.
Manage catering requests and ensure proper cleanup after events.
Monitor and replenish consumables, stationery, and copier paper.
Issue car park fobs and EV charging cards, maintaining accurate logs.
Act as the AV Super User for technical support during meetings.
Conduct regular car park checks to maintain standards.
Serve as Fire Marshal, implementing fire safety procedures, conducting drills, and assisting in evacuations.
Collaborate with HR and Facilities teams in event planning and execution.


Daily Duties

Conduct fire safety walks and visual inspections.
Prepare badges, check deliveries, and manage snack/catering schedules.
Maintain cleanliness and readiness of meeting rooms and common areas.
Monitor stock levels for snacks, stationery, and supplies.
Ensure the front-of-house area remains tidy and presentable throughout the day.


Required Skills and Qualifications:

Proven experience in customer service and front-of-house management.
Familiarity with visitor management systems and facilities support processes.
Strong organisational skills for event planning and procurement activities.
Technical support experience, particularly with audiovisual equipment.
Knowledge of fire safety procedures and the ability to act as a Fire Marshal.
Exceptional record-keeping and maintenance coordination skills.
Ability to manage catering and ensure the quality of service.
Excellent communication and interpersonal skills.
