Job Title: Facilities Coordinator

Purpose of the Role
As a Facilities Coordinator, you will support the day‑to‑day running of the building, ensuring our front-of-house, soft services, and operational processes run efficiently. You will act as a central point of contact for facilities queries, provide excellent service to staff and visitors, and help maintain a safe, organised, and welcoming environment.

Key Responsibilities
Front-of-House & Visitor Management

Provide a professional and friendly welcome to all visitors.
Oversee the visitor and contractor management system and ensure accurate sign‑in procedures.
Notify hosts of guest arrivals promptly.
Manage contractor access, issue permits, and provide escorts where required.

Facilities Operations Support

Handle all incoming and outgoing courier and postal services.
Support Facilities helpdesk ticketing, ensuring tasks are logged, tracked, and completed accurately.
Assist with procurement activities including sourcing suppliers, obtaining quotes, and raising purchase orders.
Coordinate soft services: cleaning schedules, maintenance requests, catering arrangements, and meeting room setups.
Manage catering orders for meetings and events, ensuring timely delivery and cleanup.
Monitor and replenish consumables, stationery, copier paper, and general supplies.
Issue and log car park fobs, access cards, and EV charging cards.
Act as the AV Super User, providing basic technical support for meetings and presentations.
Conduct regular car park and facilities inspections to ensure cleanliness, safety, and standards.

Health, Safety & Compliance

Serve as a Fire Marshal, supporting fire safety procedures, evacuation drills, and compliance checks.
Carry out daily fire safety walks and visual inspections of the premises.

Daily Facilities Tasks

Prepare access badges and check daily deliveries.
Oversee snack, refreshment, and catering schedules.
Ensure meeting rooms and common areas are clean, stocked, and ready for use.
Maintain a tidy, organised, and professional front-of-house area throughout the day.


Required Skills & Qualifications

Experience in facilities coordination, office management, or front-of-house operations.
Knowledge of visitor management systems and basic FM processes.
Strong organisational and multitasking skills, with experience in procurement or supplier coordination.
Confidence supporting AV/technical setups for meetings.
Understanding of fire safety procedures; Fire Marshal experience is an advantage.
Excellent record‑keeping, communication, and interpersonal skills.
Ability to manage catering, soft services, and general workplace logistics.
