Responsibilities:
Oversee payroll processes, ensuring timely and accurate payment to employees, and compliance with relevant regulations
Proficiency in presenting financial information clearly and effectively to management and stakeholders
Establish guidelines for budget preparation, oversee the creation of the annual budget, and continuously monitor budget performance with the Financial Controller
Prepare detailed forecasts to predict future financial positions and ensure sufficient liquidity
Oversee all account and expense reconciliations to ensure accuracy and integrity of financial records
Oversee the bookkeeping function for cash management, accounts payable, accounts receivable, credit control, payroll
Oversee investment and endowment fund accounts in collaboration with the Senior VP of Philanthropy
Ensure that all statutory requirements of the organization are met including Charitable Status, Withholding Payments (CPP, EI), Income Tax, Goods and Services Tax, Employer Health Tax, and payroll
Review of bank and credit card reconciliation: ensure reconciling items prepared by the Financial Controller are accurate and appropriate
Monthly review of allocation of expense reconciliation: verify that expenses are coded appropriately and accurately in their respective program codes based on the expense allocation policy
Prepare deferred revenue reports with detailed notes
Identify and report potential financial risks to the President and CEO
Regular review of recurring and adjusting journal entries: ensure appropriate entries are being made, reviewed, and approved on a timely basis
Develop, update, and implement financial policies and procedures to ensure compliance with regulatory requirements and best practices
Provide comprehensive financial reporting including narratives to support financial statement at Audit, Finance and Investment Committee, Board meetings, Annual General Meetings
Ensure that all government filings are accurate and submitted on time
Manage flow through granting when necessary
Oversee accounts payable operations to ensure timely and accurate payment of invoices and management of vendor relationships
Through external IT vendor, oversee financial management systems and backups to ensure data integrity and security
Liaise with external auditors and coordinate planning and timing of audit
Work with the auditor to ensure the T3010 is completed and filed on time
Act as a signing officer for official documents and transactions, ensuring proper authorization and compliance
Maintain an internal financial compliance list to ensure adherence to all financial regulations and organizational policies
Manage capital asset list
Manage vendor contracts effectively, negotiating terms and ensuring compliance with agreements
Develop and implement policies related to facilities maintenance and health and safety to ensure a safe and efficient working environment
Oversee and manage property maintenance and coordinating repairs and improvements as needed in consultation with external provider
Manage relationships with outsourced IT services provider
Approve IT costs that are outside the predetermined scope, ensuring alignment with organizational goals and budget
Manage IT asset list
Ensure compliance with the Employment Standards Act, providing guidance and oversight to maintain legal and regulatory adherence
Oversee the extended benefits plan, ensuring it meets the needs of employees and aligns with organizational policies
Oversee all aspects of payroll and extended benefits plan
Work with the Administrator of Finance and Operations to provide Human Resources Support
Perform periodic reviews to reconcile payroll
Qualifications:
Must be legally eligible to work, and reside in Canada
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field: A strong educational foundation in these areas is essential
Professional accounting designation (CPA, CA, CMA, or equivalent): This demonstrates a high level of expertise and commitment to the field
At least 8 years of experience in accounting or finance roles: Extensive experience in financial management, budgeting, and reporting is crucial
5+ years of experience in a senior financial leadership role: Proven track record in managing financial operations at a senior level
Experience in the non-profit sector: Familiarity with the unique financial requirements and regulations of non-profit organizations is highly beneficial
Experience with financial software and systems: Proficiency in using accounting software (e.g., Business Central, QuickBooks, Sage, or similar) and financial management systems
Strong analytical skills: Ability to analyze financial data, identify trends, and provide actionable insights
Excellent communication skills: Proficiency in presenting financial information clearly and effectively to management and stakeholders
Attention to detail: High level of accuracy in preparing and reviewing financial documents
Leadership and supervisory skills: Experience in leading a finance team
Knowledge of charitable tax regulations: Understanding of the requirements for preparing and filing charitable tax returns
Proficiency in Microsoft Office Suite: Advanced skills in Excel for financial analysis and reporting
Strong organizational skills: Ability to manage multiple tasks and deadlines efficiently
