Adecco in partnership with our client is currently hiring a full-time reliable and self-motivated Office Administrator with a background in the HVAC industry to join their growing team in Scarborough, ON. In this role you will be responsible for managing day-to-day office operations, ensuring efficiency and effectiveness in our administrative processes, and supporting both the management and technical teams.

- Quotations and Proposals - prepare and email quotations and proposals
- Contracts - draft and submit contracts to customers
- Email Marketing - create and send email blasts to customers
- Vendor Relations - source quotes for equipment, materials, and parts from suppliers
- Client communication - maintain clear and professional communication with clients
- Clerical duties - handle filing, respond to emails, and prepare documents
- QuickBooks Online - Utilize QuickBooks for financial management
- Administrative support - assist the owner and office manager with daily tasks
- Prepare job packages for new projects
- Generate WSIB Clearance Certificates and obtain Insurance Certificates
- Must be legally eligible to work, and reside in Canada
- 5 years in a similar administrative role
- 3 years in a similar HVAC role
- Superior oral and written communication skills
- A passion for delivering exceptional customer skills
- Ability to manage multiple tasks concurrently with attention to detail
- QuickBooks Online expertise
- Proficient with Google Drive and Microsoft Office
- Skilled in social media management to enhance company exposure
