Adecco in partnership with our client is currently hiring a full-time reliable and self-motivated Office Administrator with a background in the HVAC industry to join their growing team in Scarborough, ON. In this role you will be responsible for managing day-to-day office operations, ensuring efficiency and effectiveness in our administrative processes, and supporting both the management and technical teams.

Responsibilities:
  • Quotations and Proposals - prepare and email quotations and proposals
  • Contracts - draft and submit contracts to customers
  • Email Marketing - create and send email blasts to customers
  • Vendor Relations - source quotes for equipment, materials, and parts from suppliers
  • Client communication - maintain clear and professional communication with clients
  • Clerical duties - handle filing, respond to emails, and prepare documents
  • QuickBooks Online - Utilize QuickBooks for financial management
  • Administrative support - assist the owner and office manager with daily tasks
  • Prepare job packages for new projects
  • Generate WSIB Clearance Certificates and obtain Insurance Certificates
Qualifications:
  • Must be legally eligible to work, and reside in Canada
  •  5 years in a similar administrative role
  • 3 years in a similar HVAC role
  • Superior oral and written communication skills
  • A passion for delivering exceptional customer skills
  • Ability to manage multiple tasks concurrently with attention to detail
  • QuickBooks Online expertise
  • Proficient with Google Drive and Microsoft Office
  •  Skilled in social media management to enhance company exposure
