Adecco is currently seeking a Front Desk Administrator to join our client’s team in Courtice, ON. This temporary role offers an hourly rate of $24 and will provide valuable experience working in a professional office environment. As the first point of contact, you will represent the firm in a professional, courteous, and confident manner both in-person and over the phone. This is a great opportunity for individuals who have excellent administrative and customer service skills.

  • Pay rate: $24/hour.

  • Shifts: Monday-Friday | 8:00am-5:00pm

Responsibilities:

  • Representing the firm professionally, courteously, and confidently in both written and verbal communications internally and externally.

  • Greeting clients at the front desk, ensuring they are assisted promptly and kindly.

  • Responding to visitors and telephone calls.

  • Managing mail and courier deliveries.

  • Coordinating, printing, and filing various annual tax packages (T1, T2, T4, T5) and assisting clients with signing documents.

  • Organizing and coordinating meeting logistics, including booking meeting rooms, arranging meals, equipment, RSVPs, setting up conference calls or video conferences, and booking travel.

  • Researching, collecting, preparing, and distributing materials for internal/external client or firm meetings.

  • Managing both electronic and paper-based files, including e-signatures and digital archiving.

  • Maintaining and updating databases and registers.

  • Tracking and organizing legal correspondence and engagement documentation.

  • Coordinating the scheduling of files in collaboration with accounting managers.

  • Preparing, editing, and proofreading professional documents, financial statements, proposals, and presentations.

  • Supporting firm technology and process/policy changes.

  • Monitoring current internal systems and processes and suggesting improvements.

  • Taking client payments.

  • Maintaining and replenishing supplies, stocking rooms, and keeping the kitchen area tidy.

  • Communicating with the building manager to ensure the office space is well-maintained.

Requirements:

  • Must be legally eligible to work and reside in Canada.

  • Post-secondary education in Administration, Business, or Accounting.

  • 2-3 years of experience in administration and customer service.

  • Knowledge of Office 365 products and excellent computer skills.

  • Familiarity with accounting tax processes and forms (T1s and T2s) is an asset.

  • Ability to pass a criminal background check.

  • Strong organizational and multitasking skills.

  • Excellent communication skills, both written and verbal.

  • Ability to work independently and as part of a team.

  • Strong attention to detail and accuracy.

  • Positive attitude and professional demeanor.

  • Experience with CaseWare, Caseview, TaxPrep, and Doc.it an asset
