Contracts Administrator

As a Contracts Administrator, you’ll enforce contract policies, manage the client’s contracts database, handle documentation, resolve contract issues, prepare reports, and ensure timely renewals. You’ll also support invoice validation, collaborate with teams, and ensure compliance with HR and safety policies.
Ideally, you will have a certificate in Legal Administrative Studies or equivalent, with a diploma in Legal Studies, Paralegal, or Business Law considered an asset. Ideally, they will have 1-3 years of experience handling high-volume contracts in a fast-paced environment.

Pay Rate: $58-70K/year
Location: Abbotsford, BC
Shifts: Monday – Friday | 8:00am – 5:00pm | Hybrid

Responsibilities:
Enforce the client’s contract execution and proposals policies and procedures
Manage and maintain the client’s contracts & proposals database:
Upload contract documents and relevant customer communications to database
Compile and maintain all required contractual records and documents in accordance with contract requirements and the client’s policies and procedures
Entry of contract details into database
Run reports from database, as needed
Filing, emailing/faxing, distribution and organization of executed contracts
Recognition, analysis and solution definition for contracts and proposals administration issues
Preparation of periodic internal and external reports and/or summaries relating to contracts and proposals progress
Ensure appropriate and timely renewal and/or changes in accordance with Contract Management policies
Maintain awareness of legal requirements, contract/proposals terms and reporting requirements to maximize business advantages and ensure compliance
Provide appropriate support to internal, non-legal documents as it pertains to contracts and proposals
Support finance and other internal clients for invoice validation prior to payment
Coordinate with cross-functional teams/individuals in order to support effective data compilation for business requirements, associated to contract management
Be familiar with and ensure that all workplace conduct is in accordance with the client’s Human Resources safety and security policies and procedures.
Perform other duties as required.
Qualifications & Skills:
Must be eligible to work and reside within Canada
Minimum: Certificate in Legal Administrative Studies/Legal Office Administration or equivalent is required
Diploma in Legal Studies, Paralegal, Business Law, or other relevant discipline considered an asset
1-3 years of experience dealing with high-volume contracts/proposals administration in a fast-paced environment
Familiarization with the aerospace industry considered an asset
Excellent communication skills: fluent written and verbal English is mandatory
Detail oriented
Advanced computer skills: MS Office Suite including Teams, Word, PowerPoint, Outlook and Excel
Ability to interact with all levels in the organization
Excellent time management skills
Able to handle multiple assignments simultaneously and meet deadlines with a high degree of professionalism and accuracy
Experience handling confidential business matters and information with discretion
