Administrative Assistant
Adecco is actively seeking a proactive and organized Administrative Assistant to support our client, an association located in Etobicoke, ON. This role is vital in managing communications, organizing meetings, and facilitating membership processes while fostering a collaborative team environment.
Pay Rate: $50k/year.
Location: Etobicoke, ON
Shift: Monday-Friday 8:30am-4:30pm

Responsibilities:
Serve as the primary contact for the association, managing incoming and outgoing inquiries via phone and email.
Coordinate meetings, prepare agendas, and arrange necessary equipment and materials.
Act as the liaison for the Association Management System (AMS), assisting members with their profiles and managing new company profiles.
Oversee expense filing for the President and Operations and Engagement Manager.
Manage new membership applications and renewals, including reaching out to references and sending welcome communications.
Provide general administrative support as required.
Collaborate with the Operations and Engagement Manager and the President to prepare Executive, Board, and Committee agendas.
Act as recording secretary for meetings and ensure minutes are accurate and distributed in a timely manner.
Prepare correspondence and ensure all relevant meeting documentation is sent out.
Collaborate with staff on various administrative tasks and support outward-facing communications.
Contribute ideas during staff meetings and assist in team initiatives.
Support event planning and execution, ensuring successful member experiences at various events, including luncheons, galas, symposiums, and awards.
Serve as the main contact for purchasing CCDC Documents and Seals and process orders from our clients store.
Requirements:
Legal eligibility to work and reside in Canada.
Valid G driver’s license and access to a usable vehicle.
Professional demeanor with strong networking skills.
Proven experience in an administrative role.
Strong digital literacy (Excel, Word, PowerPoint, Outlook, Adobe Acrobat).
Excellent interpersonal and communication skills.
Highly organized with attention to detail, discretion, and confidentiality.
Adaptable and flexible, able to work effectively as part of a team.
Strong time management skills with the ability to prioritize workload.
Willingness to work evenings and weekends as needed.
