On behalf of our valued client, international production company with an established Shared Service Center in Sofia, we are looking for an experienced:
Senior HR Administration Specialist
Key responsibilities:
- Owns and manages the end-to-end HR administration lifecycle (onboarding–offboarding) for Bulgaria, including day-to-day HR administration and benefits administration activities
- Ensures timely and accurate delivery of all HR administrative and benefits-related tasks, including preparation of legal documentation, maintenance of HR and benefits systems, reporting, and full compliance with Bulgarian labor legislation
- Coordinates all onboarding and termination activities, acting as the primary operational owner of the process
- Acts as the main point of contact for employees regarding HR administration and benefits-related inquiries, partnering closely with the COE to resolve complex or escalated cases
- Administers employee benefits in line with company policies, collective agreements, and employment contracts; monitors usage and provides regular reporting to the COE
- Responsible for benefits administration and related vendor coordination, including creation of purchase orders in Oracle and follow-up on invoice accuracy
- Actively partners with HR Business Partners and the business to ensure effective resolution of day-to-day HR matters
- Supports and provides guidance to a team of HR Administration Specialists in Bulgaria; maintains up-to-date process documentation and ensures knowledge sharing
- Leads communication with all relevant stakeholders regarding HR administration and benefits processes to ensure smooth service delivery, issue resolution, and continuous improvement
- Participates in local, regional, and global HR projects in line with company priorities, particularly those related to Workday and other HR/Benefits systems
- Ensures high service quality, monitors performance against defined KPIs, and drives accountability for results
- Participates in and may lead process improvement initiatives related to specific HR administration or benefits process steps within own scope of responsibility
- Reports adverse events, medication errors, and quality complaints in line with applicable regulations and internal procedures
Key requirements:
- A university degree required (i.e. Bachelor’s degree) or equivalent relevant work experience.
- At least 4 years of working experience in the HR administration functions in the international companies, preferably with Shared Services concept implemented.
- Knowledge and understanding of labor legislations.
- Knowledge and understanding of HR Systems, e.g., SAP/Workday is preferred.
- Strong communication skills; oral, written and presentation
- Strong organization, planning and time management skills to achieve results
- Proficient in Microsoft Office programs (Outlook, Word, PowerPoint, and Excel)
- Fluent English
- Strong interpersonal & collaboration skills to work effectively with all levels of the organization including suppliers and/or external customers
