About Us

Well-Known Japanese Company Seeking a Procurement Officer. You will manage end-to-end purchasing for hardware, software, and services. This role involves close collaboration with internal teams to ensure cost-effective sourcing, timely delivery, and accurate record-keeping. Responsibilities include handling RFQs/RFPs, negotiating with suppliers, raising purchase orders, tracking deliveries, and supporting software licensing renewals.



Responsibilities

Your key duties include but are not limited to:

Supplier Sourcing & Evaluation

Conduct RFQs/RFPs, compare quotations, and negotiate pricing, payment terms, and SLAs.

Purchase Order Management

Prepare purchase requisitions and POs, ensure approvals per policy, and maintain accurate item and pricing data.

Licensing & Renewals

Coordinate renewals for software and subscriptions, maintain entitlement records, and manage expiry calendars.

Order Tracking & Logistics

Monitor lead times and shipment status, coordinate deliveries across regions, and escalate delays when necessary.

Sales & Project Support

Assist with BOM creation, costings, urgent RFQs, and special bids.

Invoice Reconciliation

Match supplier invoices to POs and receipts, resolve pricing or quantity discrepancies.

Supplier Management

Maintain preferred supplier lists, track performance metrics (on-time delivery, quality), and drive cost-saving initiatives.

Data & Compliance

Keep ERP systems and records updated, ensure compliance with policies and trade regulations, and manage onboarding documentation and NDAs.

Reporting & Continuous Improvement

Achieve procurement KPIs (cost reduction, on-time delivery), and contribute to standardized templates and workflow enhancements.



Your Profile

In order to be considered for this role you will have the following key attributes, skills and strengths:

  • Proven experience in procurement or purchasing (IT/Telco or distribution environment preferred).
  • Strong negotiation skills, attention to detail, and effective stakeholder communication.
  • Proficiency in Excel and ERP systems (e.g., Salesforce).
  • Ability to manage multiple priorities and meet deadlines.
  • Full work rights in Australia.
  • Japanese language proficiency (business-level reading and writing) is essential.
